Unit Lead Information

The Unit lead wears many hats at our Beacon. They are a coach and mentor to youth workers, they are a resource for youth, and a representative of our Beacon to families, school and community members. Unit leads keep the program running smoothly by helping prepare schedules, maintaining group rosters, supporting youth workers with ideas, resources and behavior support. Unit leads must be flexible, organized, creative and a good leader. Each Unit Lead is responsible for a different age Unit: K-2nd grade, 3-5th grade
Here are some of the primary responsibilities:
1. Create, distribute and file youth registration forms.
2. General clerical responsibilities, including but not limited to faxing, filing, copying, and data entry.
3. Help keep the office space neat and tidy.
4. Partner with community partners, Beacons staff and school staff to support events and daily program needs.
6. Answer telephone and answer questions or take messages.
5. Interact and maintain positive relationships with community partners, volunteers, Beacons staff, families, youth, school and district staff.
7. Create and modify documents using Microsoft Office (Word, Access, Excel, Publisher)
8. Run weekly meetings with Unit team to provide updates, plan events, troubleshoot issues, and maintain a supportive network of staff.
9. Support Program staff with behavior issues, planning and projects.
10. Act as a coach to Program staff and youth staff members.
11. Other duties as assigned.
Youth Worker Information
– Part time 15-25 hrs per week. Sample Schedule: M-Th 12pm-5pm
– September-May
– $10/hr
Program staff are the heart of our Beacon. Youth workers are mentors, role models, allies and educators. They run the groups and keep the youth engaged and having fun. We encourage people to apply who have specialized skills that they can teach the youth (like dance, music, computer skills, art…you name it)! You don’t have to have a special skill to work with us, as long as you are invested the success of young people, Beacons could be the place for you! Our groups are split between two units: K-2nd grade and 3-5th grade. Current positions are for 1-2nd and 3rd-5th grade units!
Here are some of the primary responsibilities:
1. Plan and run your own group of 10-15 kids during program (Monday-Thursday, 1-5pm)
2. Answer telephone and answer questions or take messages.
3. Interact and maintain positive relationships with community partners, volunteers, Beacons staff, families, youth, school and district staff.
4. Deliver programming based on positive youth development principles and the YMCA’s Four Core Values (Caring, Honesty, Respect and Responsibility)
5. Make sure that the center is kept clean and organized.
6. Be a part of an ongoing process with youth and your colleagues to build and develop your skills as a youth worker.
7. Work as a team with your unit and center cohesively.
8. Implement a curriculum (as an individual / assigned) with an objective for young people.
9. Support program with general administrative responsibilities like taking attendance, giving surveys and some data entry.
10. Provide a fun and safe enjoyable experience to all program participants and partners/staff.

Community Advocate Position!

Tubman provides safe shelter, legal services, mental and chemical health counseling, elder care resources, youth programming, and community education.
Position Summary:
The Community Advocate is responsible for providing crisis intervention, supportive counseling, information, and referral services to individuals who call or walk into Tubman.

Position Accountabilities:

Position Qualifications:

Reporting Relationship(s):
The Community Advocate Volunteer or Intern is supervised by the Community Advocacy Coordinator and/or Community Services Coordinator.
Time Commitment Requirements:
Minimum of 150 hours, inclusive of training and volunteer in-service trainings.
• Commit to at least one shift per week. Days and times of available shifts are as follows:
o Tubman West (Mpls): Monday-Friday 8 am-12 pm, 12-4 pm, and 4-8 pm (no 4-8 pm shift on Friday).
o Chrysalis Center (Mpls): Monday-Thursday 9 am-1 pm, 1-5 pm; Friday 9 am-1 pm
o Tubman East (Maplewood): Monday-Wednesday 9 am-12 pm, 12-3 pm

• Attend two shadowing shifts (called “buddy shifts”), coordinated with the site supervisor. The first buddy shift takes place before training, and the second buddy shift takes place following training.

This position performs advanced Advocate duties which include: performing the role of mentor to new Member Advocates; delivery of training and orientation; and performing auditory function as assigned by supervisor. This position is also responsible for representing the company to all inbound callers. The Advocacy tasks of this position are varied and often complex in nature and include:
(1) Service and process explanation,
(2) Benefit, eligibility and complex claim interpretation,
(3) Screening and referral functions, services callers and
(4) Follow-up and service satisfaction,
(5) Participant Education needs based on participant’s presenting problem/issues, and

This position services callers and problem-solves independently. Incumbents will Utilize Telephony, Web, and internal materials to achieve first time resolution for callers.

12. Completes service tracking and initiates the Concern, Complaint, Grievance (CCG) process.
13. Assists less seasoned Member Advocates as necessary.
14. Participates in auditing cases and/or acts as a point person for specific accounts.
15. Demonstrates a complete awareness and understanding of the responsibilities and workflows of the various departments within the site.

Position Summary
This position is primarily responsible for delivering and facilitating drop-in activities for Museum visitors. These activities include but are not limited to: classroom art activities and tactile sensory activities, in-gallery activities, large motor activities, and activities during on and offsite special events. Other responsibilities include assisting with staff-led programs, and working behind the scenes to ensure that program supplies are prepared and well-maintained.
Major Job Accountabilities
This is an estimate of the duties to be included in the internship. The exact duties and projects will be determined by mutual agreement of the intern and museum staff. All duties will be carried out with the direction and supervision of Museum Programs staff.
% of Time
80% Facilitate programs on and off-site following Museum best practices and program write-ups.
• Greet visitors and introduce activities. Provide developmentally appropriate interaction with adults and children in order to encourage learning through play and to spark ideas for activities to try at home
• Monitor and maintain program materials, supplies and program spaces throughout program
• Demonstrate and role model being playful, engaged, welcoming and inclusive of all visitors
• Make observations, ask open ended questions and pose challenges to extend children’s learning
• As needed: Provide assistance to adults and children, redirect undesirable behaviors and adapt programs for visitors of varying abilities and ages
• Provide regular feedback on programs using program assessment forms
15% Program Preparations: Complete behind-the-scenes tasks as directed such as doing inventory, prepping program supplies, collecting and tabulating program logs, washing smocks, cleaning program spaces/supplies, and putting supplies away.
5% Other duties as assigned.
Knowledge, Skills and Abilities Required
1. Minimum of 40 hours working directly with children ages 1-8, preferably in a learning-focused environment (day-camp, pre-school/school, child-care center, after-school, tutoring, or informal learning environment such as a nature center or museum). The successful applicant will possess skills and knowledge related to working effectively with this age group.
2. Some post-secondary education in a related subject (education, child psychology, child development, communication, art or music therapy, museum studies, etc.) and an interest in a career related to early childhood, informal learning environments, education, or families.
3. Ability to work well with people in general, and to work effectively and comfortably in a variety of settings – from busy to slow.
4. Ability to follow directions, work independently and complete tasks and communicate in an effective manner.
5. Ability to use feedback on performance to improve effectiveness as a program facilitator.
6. Skill in taking initiative to find and complete additional tasks when assigned work is completed.
7. Preferable skills/experience: customer service, volunteer experience, leadership roles, experience working/volunteering in family-oriented environments (interacting with adults and children together).
